About this policy
This policy explains what personal data Speakub collects, why we collect it, who we give it to, how long we keep it and what you can ask us to do about it. It applies to the Speakub app and this website.
Speakub is based in Hong Kong and handles personal data in accordance with the Personal Data (Privacy) Ordinance (Cap. 486).
What we collect, and why
We collect only what we need to run the service. Providing this data is voluntary, but without it we cannot give you an account or assess your speaking.
- Account details
- Your email address, and a password stored only in hashed form. If you sign in with Google we receive your name, email address and Google account identifier instead. Purpose: to create and operate your account.
- Voice recordings
- Audio captured while you practise. Purpose: to produce a transcript and an assessment. Deleted once that is done — see “Your voice recordings”.
- Transcripts, scores and feedback
- The text of what you said, your score against each criterion, and the feedback produced from it. Purpose: to give you feedback and to show your progress over time.
- Subscription status
- Confirmation from Apple or Google that a subscription is active. Purpose: to unlock paid features. We never receive your card details.
- Schools and teams enquiries
- The name, school or organisation, role, learner count, email address and message you submit through the form on this website. Purpose: to reply to your enquiry.
- What we do not collect
- No analytics, no crash reporting, no advertising identifiers, no location data, and no profile of your device or browsing.
How we collect it
Directly from you: when you create an account, record a practice session, or submit the enquiry form. We do not buy personal data or collect it from other sources.
How we use your data
We use your data only for the purposes described above, or for a directly related purpose. If we ever want to use it for something new, we will ask for your consent first and you are free to refuse.
We do not sell your personal data, we do not share it for anyone else's marketing, and we do not use it for advertising.
Your voice recordings
Voice recordings are the most sensitive thing we handle, so we are specific about them.
When you finish speaking, the audio is sent to the providers listed below to be transcribed and assessed. Our copy is then deleted. Nobody at Speakub listens to your recordings — there is no interface for us to play them back.
What we keep is the transcript and the resulting scores, because your progress over time is built from them.
Training AI models
Speakub does not use your recordings, transcripts or feedback to train, fine-tune or evaluate AI models, and we do not build datasets from them.
The providers above operate under their own terms, which may permit them to use data sent to them to improve their services. We cannot guarantee otherwise on their behalf.
Keeping data accurate, and how long we keep it
We take reasonable steps to keep your data accurate, and you can correct it at any time — see “Your right to access and correct your data”.
We keep personal data only for as long as it is needed for the purpose it was collected for. In practice: voice audio is deleted as soon as it has been transcribed and assessed; transcripts, scores and account details are kept while your account exists and are deleted with it.
You can delete your account, and everything attached to it, from Profile in the app.
Security
Traffic between the app and our servers is encrypted in transit using HTTPS. Account data, transcripts and scores are stored with our infrastructure providers, Supabase and Amazon Web Services, and protected by their platform security controls. Passwords are stored only as hashes and are never readable by us.
Access to production data is restricted to Speakub's operator. No system is perfectly secure and we do not claim otherwise; if you believe your account has been accessed without permission, contact us immediately.
Your right to access and correct your data
Under the Personal Data (Privacy) Ordinance you have the right to ask whether we hold personal data about you, to be given a copy of it, and to have it corrected if it is inaccurate.
Send any such request to karso@speakub.com. We will respond within 40 days, as the Ordinance requires. If we cannot comply we will tell you why. We may charge a reasonable fee for supplying a copy, as the Ordinance permits.
Much of your data can also be viewed and changed directly in the app without needing to write to us.
Openness
This policy is published openly on our website and is available to anyone, whether or not they hold an account. It sets out the kinds of personal data we hold and the main purposes we use them for.
Age, and students under 18
You must be at least 18 to hold a Speakub account. Our eligibility terms are in the Terms of Service.
Many learners are school students under 18. Where an adult account holder — a parent, guardian or teacher — lets a student practise using their account, that adult is responsible for the student's use and consents on their behalf to the handling described here. Where a school licenses Speakub, the school is the account holder and is responsible for obtaining any consent required from students and their parents.
A student's data is handled exactly as described above, and their audio is deleted after processing like anyone else's.
Data transferred outside Hong Kong
Your account data, transcripts and scores are stored on servers in the Asia Pacific region. Voice audio is sent to the providers above for processing, which may happen in the United States or elsewhere, and is deleted once processing is complete.
Changes to this policy
If we change how we handle personal data we will update this page and change the effective date above. If a change is significant we will tell users directly rather than relying on this page alone.
